QuercusPlus Modules

Curriculum Planning – the foundation and building block of college life. With our curriculum planning module not only can the college build up, block by block all the information relating to the qualifications they intend to run, they can go much further than that. Embedded in the module are the full details of the National Qualification Aims Database (NQAD) and Exams Boards. As staff and tutors create the qualifications and curriculum the module will automatically cross referenced with the NQAD to ensure the suggested courses are registered. At the click of a button full information regarding funding can be retrieved enabling staff to make accurately informed decisions and clearly understand the level of funding the planned curriculum will attract.

In addition the module contains full details from the appropriate exams boards meaning dates, times, details and locations for all exams associated with the planned qualifications are immediately retrieved. Put simply the curriculum planning modules gives colleges as one stop shop.

And finally once a qualification has been created it can be used multiple times and applied to many different situations – for example the same qualification can be used for multiple start dates, locations, types of study and so forth. No need to re-create the details, simply apply the qualification to a new situation.

Marketing and Enquiries –  a central source for storing all marketing materials relating qualifications and for entering and retaining any incoming calls or correspondence enquiring about courses and options. The appropriate information can be entered directly into the system, enquiry statuses can be applied and next steps or actions can be assigned to ensure successful resolution of the enquiry. Reponses can be prepared, materials can be attached and with a simple press of the button personalized communications can be bulk printed and mail merged at the close of the day.

With the marketing and enquire module colleges can also get holistic view of who is applying for what – and not just at an individual learner level but aggregated up to look at overall applications from external institutions and organizations.

Admissions – QuercusPlus manages the admission processes for the college. Using rules and business logic agreed with the college all admission data is cross checked to ascertain suitability of the application. Once a match is made the system will automatically check for place availability and only then will a response be authorized and the communications prepared. Naturally check points for manual intervention and administrator go/no decisions are built into the workflow process.

Enrolment – gone are the days of paper data collection and manual rekeying of information. With QuercusPlus all of a learner’s information can be entered directly into the system at the time of enrolment. This ensures not only a swift and speedy process but accurate data collection essential for a college’s ILR returns and reports.

In addition once a learners’ data is entered QuercusPlus will update other systems where appropriate and automatically trigger and enable the next set of actions – for example:-

o Curriculum assignment

o ID card creation

o Access code generation – e.g. computer system/library

o Generation of fee dues

QuercusPlus makes the enrolment process swift and accurate and ensures that all appropriate next steps are enabled – the outcome is a better experience for learners when returning to college.

Learner Fees and Finance - using this module administration staff can allocate the appropriate fees for qualifications. Naturally the fees can be customized to match the myriad of different options which need to be accounted for – from nationality, through to full time/part time study types and so forth.

Using this information and correlating it back to the learner’s course details entered at the time of enrolment, the system will automatically calculate the fees owed by learner and reconcile the same against any payments received, either directly or via third party funding to give an on the spot accurate balance.

Standard reporting and customized analytics are available to administration staff to keep abreast of outstanding balances and automate debt collection follow up communications where appropriate.

Where learners are being funded by 3rd parties such as local councils or employers these details can be entered into the system and balances updated as payments are received. The system automatically feeds information directly and seamless into any in-house or 3rd party finance system a college may have in place.

Learner Tracking – the learner tracking module in QuercusPlus is the core module where all learner information is entered and maintained. From name and address right through to statements on funding, timetables and records of attendance – it is the nerve centre and central source of all learner information.

Once a piece of data is changed or entered into the tracking module QuercusPlus automatically updates all other modules and systems to ensure there is one single version of learner information.

And of course, for colleges who use QuercusLive – any information updated by the learners themselves online is automatically sent to and updated in QuercusPlus.

Learner Support – the learner support module manages all of the ancillary services surrounding college – from work based learning requests through to addition support such as child care, mobility assistance or extensions. The learner support module is the single source of record for all such requests and communications.

Examinations – the examinations module in QuercusLive enables administration staff and tutors to enrol learner directly with the exam boards for the appropriate exams. When the exams are complete and the results available the same can be imported and published using the module.

Statutory Returns – two simple words but a mind field of complexity in reality. Preparing and submitting statutory returns to the ILR can challenging for many colleges – but it is a challenge QuercusPlus easily overcomes. QuercusPlus automates the production and population of the annual reports required by IRL with unrivalled accuracy and report quality.

Reporting and Analytics – like all good systems QuercusPlus comes out of the box with standard management information reports for all levels of the organizations – from administration assistant to head of the college.
